- This Policy explains how ChatReply (we, us, our) collects, uses, and shares personal information in connection with chatreply.org and the ChatReply assistant (Service).

2. Information We Collect
- Account and Contact Information: name, email, phone, business details.
- Billing Information: payment method details processed by our payment processor; we do not store full card numbers.
- Usage and Device Data: IP address, identifiers, browser/device info, pages visited, timestamps, and interactions with the widget.
- Chat Interactions and Leads: content you and your visitors submit via the widget (subject to your lawful basis).
- Cookies and Similar Technologies: used for session management, analytics, preferences, and, if enabled, marketing.

3. How We Use Information
- Provide and secure the Service, including greeting visitors, routing chats, and delivering alerts and reports.
- Operate trials, billing, and account management (including auto-conversion from trial unless you cancel).
- Improve features, quality, and performance, including analytics and training of models consistent with this Policy.
- Communicate with you about the Service; send transactional notices and, with consent where required, marketing communications.

4. Real-Time Alerts and Latency
- Alerts are intended to be prompt; actual timing depends on plan, integrations, provider queues, and network conditions and is not guaranteed instantaneous.

5. HIPAA and Regulated Data
- ChatReply is not a HIPAA-covered entity or business associate and does not sign BAAs. Do not submit or cause the Service to process protected health information (PHI) or other regulated data (e.g., PCI, CJIS).

6. Legal Bases (where applicable)
- We rely on performance of a contract, legitimate interests (e.g., to secure and improve the Service), consent (for certain cookies/marketing), and compliance with legal obligations.

7. Sharing of Information
- Service Providers: hosting, analytics, communications, and payment processing.
- Integrations: if you connect third-party tools, we share data as needed per your configuration and their terms.
- Legal and Safety: to comply with law, protect rights, safety, and security.
- Business Transfers: in connection with a merger, acquisition, or similar event.

8. Data Retention
- We retain personal information for as long as necessary to provide the Service, comply with law, resolve disputes, and enforce agreements.

13. Business Customer Responsibilities
- You are responsible for providing your own privacy notices and obtaining necessary consents on sites where the widget runs, and for honoring user requests sent to you. Only share data with us that you are permitted to share.

15. Trial, Auto-Conversion, and Communications
- If you start a trial, we will send reminders before it ends. If you do not cancel, your plan will auto-convert and your payment method will be charged. We send transactional messages necessary to operate your account; marketing requires consent where required and includes opt-out options.

- We may update this Policy. Material changes will be communicated by reasonable means prior to taking effect. Continued use indicates acceptance.
